A Guide to AAHAR for First-Time Exhibitors
Building at Pragati Maidan (Bharat Mandapam): the rules that shape your stand
Bharat Mandapam — the modern IECC at Pragati Maidan — is a central-Delhi flagship venue with generous height, high-capacity halls and strict access discipline. The hall you're allocated shapes the build, so we design to the specific space rather than a generic assumption.
A food or equipment stand carries specific requirements: for F&B, a hygienic sampling and preparation area with water, washing and refrigeration; for equipment, floor loading and power for a working demonstration. Power is sanctioned through the official electrical contractor against a declared load (including refrigeration or demo equipment), ordered ahead to avoid peak-build surcharges. All materials are FR-treated with certificate and fire NOC filed before move-in, finishing is completed off-site, and two-storey builds need a structural-stability certificate.
Central-Delhi logistics are tight in the March window. Freight runs roughly 1,400 km by road from our Mumbai facility, so crating and convoy timing decide your build week; we schedule to land the stand inside its access window — and for a food stand, set the sampling area up clean and ready.
What a winning AAHAR stand needs
The stands that win at AAHAR match the experience to the product. For an F&B brand, we design a clean, appetising, brand-led stand with a hygienic sampling area and certifications (FSSAI and relevant marks) visible; for an equipment or hospitality brand, we design a working demonstration with the floor loading and power it needs. Both need hosting space — a counter, seating, a tasting bar or a demo station — for the buyer conversation.
We keep the message and the experience specific, because a retail F&B buyer, a HoReCa procurement buyer and an institutional equipment buyer want different things, and a stand that matches the right experience to the right buyer is read far faster than a generic 'food and hospitality' one.
Designing for retail, HoReCa and institutional buyers
Buyers walk AAHAR with category gaps, kitchen and equipment requirements, and listing decisions, so the stand has to qualify them fast and host them well: a clear brand or capability message, the right proof (a tasting or a demonstration), then a conversation about margins, MOQ, specification or order. We design the path from the experience to that conversation, because at a listing-and-order show the experience earns the meeting and the meeting earns the business.
We keep the message specific to your category and channel, because a packaged-food brand and a commercial-kitchen-equipment brand are sourced differently, and a precise story is found far faster than a general one on a 700-plus-exhibitor floor.
What an AAHAR stand costs
A turnkey SOL stand at AAHAR runs from ₹1.8 lakh for a focused 9–18 m² Essential presence, from ₹4.5 lakh for a 24–48 m² Regular build with a sampling or demo area and hosting space, and from ₹12 lakh for a 50–100 m²-plus Premium island, double-deck or heavy-equipment build. The figure is all-inclusive — design, fabrication, graphics, lighting, road freight to Delhi, install, dismantle and the venue paperwork — with only the organiser's floor rental outside it.
What moves the number is a full food-safe sampling area with water and refrigeration, equipment floor loading and a working demonstration, a tasting bar, or a double-deck lounge. What you do not pay extra for is flooring, material handling and electrical fit-out, which sit inside the turnkey figure.
Stand sizes and layouts
Stands run from compact 9–18 m² spaces for specialist brands to 100 m²-plus islands and double-deckers for major food, equipment and hospitality houses. The layout leads with the right experience — sampling for F&B, demonstration for equipment — where the aisle sees it, keeps hygiene and safety clean, and sets hosting space for the buyer conversation. Corner and island positions help on a busy, footfall-heavy floor.
Whatever the size, we make the stand appetising or capability-led as appropriate and light it well, because a clean, well-finished stand is the quality signal a buyer reads before they taste or test anything.
Getting into Pragati Maidan: build-up timing
Bharat Mandapam runs a tight build-up in the March window, and services book up early. We confirm your build slot, order power through the official contractor before the deadline — including refrigeration or demo load — plan water and washing for any sampling and floor loading for any equipment, and time the Mumbai-to-Delhi freight so the stand lands inside its access window, with the sampling or demo area set up and ready.
Because a food stand needs a clean sampling area and an equipment stand needs a commissioned demo, we plan that setup time in rather than leaving it to opening morning.
Reusing your stand between editions
Food, equipment and hospitality brands exhibit at AAHAR, Annapoorna and the regional food and hospitality circuit across the year, so a modular reusable stand with a re-deployable sampling or demo area is strong value. We store the core in Mumbai, refresh graphics and display for each edition, and keep your power and water orders on file — so the next show is a refresh, not a rebuild.
Common mistakes, in order of frequency
- A generic stand that fits neither the F&B sampling nor the equipment-demo half of the show.
- Forgetting water, washing or refrigeration load for a food sampling area.
- Under-planning floor loading or power for heavy commercial equipment.
- No hosting space for the retail, HoReCa or institutional buyer conversation.
