A Guide to Agri Asia for First-Time Exhibitors
Building at the Helipad Exhibition Centre, Gandhinagar: the rules that shape your stand
The Helipad Exhibition Centre (HEC) in Gandhinagar is Gujarat's principal large-format venue, with built halls and structured space and significant capacity for machinery and outdoor display. The space you're allocated — indoor hall or outdoor area — shapes the build, so we design to the specific allocation rather than a generic assumption.
Machinery and vehicles are heavy, so floor or ground loading and access (ramps, plot preparation) are planned in early. Power is sanctioned through the official contractor against a declared load (including any demonstration), ordered ahead to avoid surcharges. All materials are FR-treated with certificate and fire NOC filed before move-in, finishing is completed off-site, and two-storey builds need a structural-stability certificate from a licensed engineer.
Gandhinagar logistics are very manageable from our base: freight runs roughly 525 km by road from our Mumbai facility — one of the shorter legs on the India circuit — so crating and convoy timing are straightforward, and we schedule to land the stand inside its access window, coordinating any separately arriving machinery into one plan.
What a winning agriculture stand needs
The stands that win at Agri Asia present real product and machinery and make the value legible. We design display for machinery, implements, inputs or agri-tech with safe access so a farmer can see and handle the product, clear signage on output, capacity and value, a demonstration where useful, and a dealer/hosting area. For input and seed brands, we design strong product and brand display with sampling and a meeting area.
Value, durability and results are what this audience buys on, so we make those legible, and keep the stand approachable, because a farmer or dealer should grasp the value and get hands-on before any conversation starts.
Designing for farmers, dealers and agri-businesses
Buyers walk Agri Asia with purchase and dealership decisions, so the stand has to attract and demonstrate, then host the conversation: real product or machinery they can experience, a demonstration where useful, then a conversation about price, financing, dealership and service. We design the path from the product to that conversation, because at a farmer- and dealer-driven show the experience earns the meeting and the meeting earns the order or dealership.
We keep the message specific to your segment — machinery, irrigation, inputs, horticulture, post-harvest, agri-tech — because a machinery buyer and an input buyer assess different things, and a precise value-and-output statement is found far faster than a general 'agriculture solutions' one.
What an Agri Asia stand costs
A turnkey SOL stand at Agri Asia runs from ₹1.8 lakh for a focused 9–18 m² Essential presence, from ₹4.5 lakh for a 24–48 m² Regular build with machinery or product display and a dealer area, and from ₹12 lakh for a 50–100 m²-plus Premium build with multiple machines, a demonstration and a hospitality area. The figure is all-inclusive — design, fabrication, graphics, lighting, road freight to Gandhinagar, install, dismantle and the venue paperwork — with only the organiser's floor or plot rental outside it.
What moves the number is vehicle and machinery handling and access, an outdoor plot build, a demonstration, or a hospitality area. What you do not pay extra for is flooring, material handling and electrical fit-out — and because the Gandhinagar freight leg is short, the logistics line is one of the lighter ones on the circuit.
Stand sizes and layouts
Stands run from compact 9–18 m² indoor spaces for inputs and component suppliers up to large indoor or outdoor builds carrying multiple machines for major brands. The layout puts machinery or product where the crowd sees it, plans safe access and circulation, and keeps a dealer/hosting area for the conversation. Prominent corner, island and outdoor positions help a brand be seen amid a large farmer footfall.
Whatever the size, we present and light the machinery or product to show build quality and value, because on a farmer- and dealer-driven floor the presentation and approachability of the stand shape how the brand and product are judged.
Getting into the HEC: build-up timing
The Helipad Exhibition Centre runs a build-up and access schedule for a large show with indoor and outdoor space, and power and access book up early. We confirm your build slot or plot, order power and any demonstration load through the official contractor before the deadline, plan ground loading and access for machinery or vehicles, and use the short Mumbai-to-Gandhinagar freight to land the stand and machines set and ready for the first day.
The short Gandhinagar leg means we can coordinate machinery and stand easily and accommodate late changes that a distant build could not.
Reusing your stand between editions
Agriculture brands exhibit at Agri Asia, Kisan and the regional agri and machinery circuit across the year, so a modular reusable stand designed around your machine footprints is strong value. We store the core in Mumbai, refresh graphics and display for each edition, and keep your power and handling orders on file — so the next show is a refresh and a re-set of the machines, not a rebuild.
Common mistakes, in order of frequency
- Machinery a farmer can't get close to or handle.
- Under-planning ground loading and access for heavy machines.
- Generic 'agriculture solutions' messaging with no output, value or results.
- No dealer/hosting area on a dealership-and-order-driven floor.
Getting Started
Send your stand size, your hall and stand number once the organiser has issued it, and a short note on what will physically happen on the stand. You get a 3D design and an itemised all-in quote, at no charge and with no obligation.
