Event Management for Brands Exhibiting and Hosting in India
Dealer meets, launches, conferences, roadshows and managed pavilions — concept, venue, permissions, production, crew and the day itself, run by the same exhibition stand builders who build the stands that builds your exhibition stands in Mumbai.

Event management, run with exhibition discipline
Most of what we do is build exhibition stands. Event management grew out of that, because the same clients kept asking who was handling the dealer meet the evening before the show opened, the launch in the hotel next door, or the customer day at the plant six weeks later. The discipline transfers almost exactly. A stage, a hall and a hundred and fifty guests is the same problem as a build slot, a hall marshal and a freight deadline: a fixed date you cannot move, a room you cannot get into until someone lets you in, and one chance to get it right.
So we run events across India as a production and management service — concept, venue, permissions, fabrication, technical, crew and on-the-day delivery — with one project manager accountable for all of it rather than a coordinator forwarding emails between vendors.
What that buys you in practice is a single number to call when the LED wall turns up in the wrong pitch, the venue moves the load-in window, or the guest count jumps in the final week. It also means the stage set and your exhibition stand come out of the same workshop, in the same materials, to the same brand standard.
What an event costs
Events are quoted per scope rather than in fixed tiers, because guest count, city, venue class and format move the number far more than any single variable. As an indication, a single-day dealer meet for two hundred guests in Mumbai with a built stage set, AV, crew and branding typically starts around ₹6 lakh, excluding venue hire and food and beverage, which you contract directly with the venue.
Our management fee on a fully produced event runs 10–15% of the production budget and is stated openly in the quote rather than buried inside line items.
The line most often left out entirely is contingency. We carry five to eight per cent explicitly, name it in the budget, and return whatever is unspent at reconciliation. Events without a contingency line do not cost less; the overrun simply arrives as an argument in the final week.
Where the money goes
- Direct
- Venue hire and F&B, contracted with the venue — usually the largest block of all
- Largest
- Stage set and branded fabrication
- Next
- Audio-visual and lighting
- Then
- Crew and manpower
- Then
- Freight and logistics
- Named
- Permissions, licences and a stated contingency
Exhibition stand builds are priced separately, on our standard spine, and are unaffected by event scope:
Essential
- Design, build and graphics
- Lighting and furniture
- Transport from Mumbai
- Installation and dismantle
Regular
- Bespoke structure and joinery
- Meeting area and storage
- Lighting design
- Full site crew
Premium
- Double-decker or feature build
- AV integration
- Hospitality and meeting rooms
- Dedicated project manager
Stand figures are all-inclusive of design, fabrication, graphics, lighting, furniture, transport, installation and dismantling. They exclude the organiser's floor rental, power connection charges and venue-levied service fees, which the organiser bills to you directly. GST applies at prevailing rates.

The permissions layer, which is where Indian events go wrong
Production is the visible part. Compliance is the part that cancels events. Depending on the venue, the city and the format, the paperwork runs to half a dozen separate approvals, each with its own lead time and its own office.
Music licensing in particular gets missed. It is not the venue's licence that covers your event; it is an event-specific one, it is cheap relative to a shutdown, and enforcement at branded corporate events is real. We build the permission list into the project plan in week one and name an owner for each line, because the failure mode is almost never that someone refuses a permission — it is that nobody applied.
Venue type changes the shape of it. Hotel ballrooms come with mandatory in-house AV or a hefty outside-vendor charge, minimum food and beverage guarantees, restricted load-in through service corridors and rigging limits on the ceiling — flexible on timing, expensive on vendors. Convention centres are usually open on which vendors you bring and much stricter on when they can be in the hall. We ask for the venue contract before we quote the production, not after, because the clauses inside it change the number.
The permission list, opened in week one
- Fire
- Venue fire clearance, against your layout rather than the venue's standing certificate alone
- Police
- Local permission for public gathering, keyed to the guest count
- Traffic
- Traffic and parking clearance where guest volume warrants it
- Municipal
- Permission for any temporary structure outside a licensed venue
- Liquor
- An event licence wherever alcohol is served, not the venue's own
- Music
- PPL and IPRS public performance licences, for recorded and live
What we run
Corporate formats where production, branding and logistics all have to land on the same day.
Dealer and channel-partner meets
The most common brief we get: one or two days, an awards segment, and a room that has to feel like a reward rather than a sales conference. Recognition on stage is usually the emotional centre of the day, so the set, the lighting and the run of show are built around it.
Launches and conferences
Product launches in a venue or at your own plant or showroom, and conferences with registration, stage, AV, breakouts and catering coordination running to a published run of show that everyone in the room is working from.
Exhibition-adjacent events
The customer dinner, the press briefing or the hospitality suite that runs alongside a show you are already exhibiting at — sharing crew, freight and visual language with the stand instead of duplicating all three.
Roadshows, activations and pavilions
Multi-city roadshows and mall or market activations on one travelling production kit, and country or association pavilions where several co-exhibitors sit inside a single managed build with one site team.
The set is still a build
The stage set, backdrop, registration desk, photo wall and branding elements come out of the same Mumbai workshop as our exhibition stands, in the same materials: MS frame with ply and laminate for structure, tensioned SEG fabric for anything lit from behind, and UV print direct to substrate for hard panels, colour-matched to your brand sheet.
That is a real advantage on both cost and control. The set is not subcontracted and neither is the print, so if a panel comes out wrong it is our problem to fix overnight rather than a supplier conversation that runs into the morning.
It also means the visual language of your event and your exhibition stand can be genuinely the same rather than approximately the same, which matters when the dealer meet is on the Tuesday and the show opens on the Wednesday.
How a project actually runs
An eight-week plan for a two-hundred-guest dealer meet, with a named owner against every line. Four weeks is possible and costs more — express fabrication, expedited freight and a short-notice venue premium.
Brief and options
Objective, guest count, format, date and city. Venue options with real availability rather than a wish list, and an outline budget you can react to before anything is committed.
Lock and permissions
Venue contracted, and the permission list opened with a named owner and a date against every line. Creative direction agreed and signed off in the same week.
Design and fabrication
Stage and set design, technical drawings, AV specification, catering brief and speaker contracting — then set and print produced in our Mumbai workshop, with the run-of-show document and crew roster finalised.
Delivery and reconciliation
Load-in, technical rehearsal, show call, and a dismantle plan that clears the venue inside its window — then reconciliation against the approved budget, line by line.
Crew, technical and the things nobody sees
A two-hundred-and-fifty-guest event, rostered to the run of show rather than to a standard headcount — and specified for the room rather than for the spec sheet.
Project and stage management
One project manager accountable end to end, plus a stage manager calling the show from the run-of-show document. Client-facing crew are briefed on your brand and your guest list, not just on where the doors are.
Audio and vision
A technical head and an AV team sized to the room. Line-array or point-source audio chosen against the room volume, and LED pitch chosen against the viewing distance — two grades finer than the room needs can add lakhs for a difference nobody can see.
Lighting and power
Rig weight checked against the venue's rigging allowance before the design is fixed, not after it is hung. Backup power on anything that cannot fail — the stage, the screen and the registration desk.
Fabrication crew
Our own team through load-in and dismantle, working the venue's window — which in most Indian halls means an overnight shift rather than a comfortable morning.
Roadshows travel on one kit
Roadshows are a different operational problem from a single event, and the mistake is treating them as one event repeated. The economics only work if a single production kit travels — the set, the branding, the print, the run-of-show document and the core project, stage and technical team — with build crew, hospitality staff, catering and heavy technical such as audio, LED and rigging hired in each city under that team's supervision.
That means the set has to be designed for repeated assembly from the start: system-based rather than one-off carpentry, cased for road transport, and simple enough that a local crew can help build it without a full briefing. Permissions do not travel either — they are city by city, and never transferable.
It also means the schedule has to allow real transit time. Mumbai to Pune is an easy same-day move; Mumbai to Kolkata is not, and a roadshow schedule that assumes otherwise fails in week two.

Event management — common questions
What kinds of events do you manage?
Dealer and channel-partner meets, product launches, conferences and seminars, exhibition-adjacent events such as customer dinners and press briefings, multi-city roadshows and activations, and managed pavilions where several co-exhibitors sit inside one build. Our most common brief is a one- or two-day dealer meet with an awards segment.
How much does event management cost in India?
Events are quoted per scope rather than in fixed tiers. As an indication, a single-day two-hundred-guest dealer meet in Mumbai with a built stage set, AV, crew and branding typically starts around ₹6 lakh, excluding venue hire and food and beverage which you contract directly with the venue. Our management fee runs 10–15% of the production budget and is stated openly in the quote.
How far in advance should we start planning?
Eight weeks is comfortable for a two-hundred-guest event. Four is possible and costs more — express fabrication, expedited freight and short-notice venue premiums. The constraint is rarely production; it is permissions and venue availability, and both reward starting early.
What permissions does a corporate event in India need?
It depends on venue, city and format, but the list commonly includes venue fire clearance, police permission for public gathering, traffic and parking clearance at higher guest volumes, municipal permission for temporary structures outside a licensed venue, a liquor licence where alcohol is served, and PPL and IPRS public performance licences for music. We open the permission list in week one with a named owner against every line.
Do we need a separate music licence if the hotel already has one?
Usually yes. The venue's licence does not automatically cover a private branded event held there — public performance licensing is event-specific. It is inexpensive relative to the cost of an interrupted event, and enforcement at corporate events is real, so we treat it as a standard line rather than an optional one.
Do you build the stage set yourselves?
Yes. Stage sets, backdrops, registration desks, photo walls and branding come out of the same Mumbai workshop as our exhibition stands, in the same materials. Nothing structural is subcontracted, which means a wrong panel is our problem to fix overnight rather than a supplier conversation.
Can you handle an event in a city where we have no presence?
Yes. We produce across India and travel the core project team, sourcing crew, catering and heavy technical locally under our own supervision. Multi-city roadshows run on one production kit that travels with the team, which is what keeps the per-city cost sensible.
Can you run our dealer meet and our exhibition stand together?
That is a common combination and the reason the service exists. The set and the stand are designed together, built in the same workshop and installed by teams working to one schedule, so the visual language is genuinely identical rather than approximately so. Stand costs stay on our standard build pricing and are quoted separately from the event.
