Exhibition Stand Builders in India

The build-up window is the real deadline. Our own crew installs, our own supervisor stays for the run, and dismantle is in the price — not a line you discover on the last night.

The real deadline

The hall is for installing, not solving

Indian organisers hand a hall over in hours, not days. At some venues the entire build-up for a shell-scheme plot is a single overnight shift, and even on bare space the window is measured against a hard deadline that does not move because a truck was late.

So the plan runs backwards from the handover, not forwards from the workshop. Freight is timed to the access slot, vehicle passes are applied for in advance, and the crew size is set by what has to stand by morning rather than by what is cheapest. A design that needs three quiet days is not a design for that hall, and we say so at concept stage rather than on the night.

The stall arriving pre-assembled is what makes the window survivable. It was already stood up, lit and photographed at our unit, so installation is assembly rather than discovery. When something is still wrong at nine in the evening in Mumbai, it goes back to the workshop and returns before the hall opens — which is a service level no builder working from another state can offer.

Crew size is the other thing that gets quoted optimistically across this industry. A stand that needs eight people to stand by morning is not built by four working longer — it is built late, or built badly, and the exhibitor finds out at the same moment the visitors do. We size the crew against the first day, which is the day with no slack in it, and carry the cost of that in the quote rather than discovering it on the night.

Investment

What building a stand costs

Installation, the on-site supervisor and dismantle are inside every band. So is road freight from Mumbai. The line that catches exhibitors out elsewhere — dismantle and material removal quoted separately on the last night — does not exist here.

What sits outside the figure is the organiser’s floor rental, venue power connection and any service the venue itself charges you for directly. Those are billed to you by the organiser, and we will tell you what to expect rather than let you find out.

The one cost worth planning for early is power. Passing roughly 15 kW moves you into a different supply category at most Indian venues, at a different rate, and that is decided by the lighting and AV in the design rather than by the size of the plot. We calculate the load at concept stage and declare it, because under-declaring is the usual reason a stand trips at nine on opening morning.

Every band is all-inclusive of design, fabrication, graphics, lighting, furniture, freight, installation and dismantle:

Essential

from ₹1.8 lakh
9 to 18 m²
  • Design, build and graphics
  • Lighting and furniture
  • Transport from Mumbai
  • Installation and dismantle
Best for: First-time exhibitors and regional shows where one product story does the work.

Premium

from ₹12 lakh
50 to 100 m² and above
  • Double-decker or feature build
  • AV integration
  • Hospitality and meeting rooms
  • Dedicated project manager
Best for: Flagship appearances where the stand has to hold several activities at once.

Stand figures are all-inclusive of design, fabrication, graphics, lighting, furniture, transport, installation and dismantling. They exclude the organiser's floor rental, power connection charges and venue-levied service fees, which the organiser bills to you directly. GST applies at prevailing rates.

How a build-up runs

The same sequence at 9 m² and at 300 m² of bare space.

BEFORE

Passes, slots and paperwork

Vehicle passes, material entry slots, structural approvals and the electrical declaration are filed ahead of the show. At venues that route material through a basement dock on booked slots, the schedule is built around those slots rather than around our convenience.

DAY 1

Structure and services

Flooring, structure, electricals first fix and rigging where the venue permits it. This is the part with no slack in it, which is why the crew is sized for it rather than for the average across the build.

DAY 2

Graphics, lighting and finish

Panels skinned, lightboxes and fascia hung, furniture placed, and the whole stand cleaned and snagged. You should walk onto a stand that is ready, not into a build still in progress with your first meeting an hour away.

THE RUN

A supervisor who stays

One supervisor remains through show days for the small failures that decide how a show feels — a lamp, a loose panel, a socket. Dismantle and material removal are inside the price, on the organiser’s clock.

Venue by venue

What changes from hall to hall

Every venue has its own rulebook, and the differences are operational rather than exotic. They decide crew size, freight timing and sometimes the design itself, which is why they are read before anything is drawn.

None of this is knowledge you should have to hold. It is the reason install and dismantle sit inside our price rather than being quoted as extras once the constraints are discovered.

The operational differences

BEC Goregaon
Generous hall height; the organiser cap is usually lower than the building
Jio World BKC
Basement dock, booked slots, venue-appointed handling, finished interior
Bharat Mandapam
Tight security, vehicle passes, strict compliance checks
Yashobhoomi
As Bharat Mandapam, with narrower build-up windows
India Expo Mart
Long halls, deep sightlines, straightforward vehicle access
BIEC and HITEX
Confirm rigging policy early; both restrict more than exhibitors expect

Questions

Stand building — common questions

Do you use your own crew or hire locally?

Our own, travelling with the stand, with one supervisor who stays through show days and dismantle. A locally hired crew has never seen the stall before and has no relationship with the next edition, which is exactly when corners get cut.

Is installation included in the price?

Yes — installation, the on-site supervisor, dismantle and road freight from Mumbai are all inside the band. Essential 9–18 m² from ₹1.8 lakh, Regular 24–48 m² from ₹4.5 lakh, Premium 50–100 m²+ from ₹12 lakh. Organiser floor rental, venue power connection and venue-charged services are separate.

How long does build-up take?

It depends on the hall, not on the stand. Some Indian venues give a single overnight shift for a shell-scheme plot; bare space is typically two days. We plan backwards from the hours the organiser actually hands over, and the stall arrives pre-assembled so the hall is for installing rather than problem-solving.

Which venues do you build at?

Bombay Exhibition Centre and Jio World in Mumbai, Bharat Mandapam, Yashobhoomi and Pragati Maidan in Delhi, India Expo Centre in Greater Noida, BIEC in Bengaluru, HITEX in Hyderabad, Chennai Trade Centre, the Helipad Ground in Gandhinagar, and venues in Pune, Ahmedabad, Kolkata, Jaipur and Coimbatore.

Who handles vehicle passes and material entry?

We do, ahead of the show. At venues that route material through a booked dock slot with venue-appointed handling, the whole build schedule is planned around those slots. An exhibitor arguing with a marshal about a pass on build-up morning has already been let down.

What happens if something is damaged in transit?

It goes back to the workshop and returns before the hall opens — in Mumbai, the same night. That is the practical advantage of building where we build. Elsewhere in India the crew carries spares of the high-risk panels, because a fascia scuffed in transit is common enough to plan for.

Do you dismantle as well?

Yes, inside the price, on the organiser’s clock, including material removal from the hall. Where the stand is a reusable modular system it comes back to our facility, gets checked and is stored for the next edition.

Can you build to a design we already have?

Yes. Send the drawings and we will price fabrication, freight, installation and dismantle line by line. We will also tell you before you commit whether the design can be built inside the build-up window your organiser has given you.
