A Guide to India Fitness & Wellness Expo for First-Time Exhibitors
Building at the Bombay Exhibition Centre, Goregaon: the rules that shape your stand
The BEC (NESCO) is Mumbai's principal venue — a multi-hall complex on the Western Express Highway with its own access and marshalling discipline. Hall heights and column grids vary by hall, so we design to the specific hall rather than a generic assumption.
Gym equipment is heavy and a workout or demo area needs floor strength, space and sometimes power, so floor loading and the demo zone are planned in early. Power is sanctioned through the venue's official electrical contractor against a declared load (including any powered equipment or AV), ordered ahead to avoid peak-build surcharges. All materials are FR-treated with certificate and fire NOC filed before move-in, finishing is completed off-site, and two-storey builds need a structural-stability certificate from a licensed engineer.
The home-ground advantage is real: our workshop is minutes from the BEC, so there is no long road freight, crating is shorter, and we can react fast during build-up — a genuine cost and reliability edge, and useful when heavy equipment and a demo area need careful, safe setup.
What a winning fitness stand needs
The stands that win at the India Fitness Expo let buyers experience the equipment and feel the brand. We design a strong, energetic, brand-led stand with equipment a buyer can try, a demo or workout space for live sessions, and clear brand presence, all engineered for the floor loading and any power or AV the demos carry. A hosting area lets a gym owner or distributor talk an order.
Experience and brand energy are the message here, so we make the equipment tryable and the demos visible, and keep the aesthetic on-brand and energetic, because a fitness buyer assesses equipment by using it and the brand by feeling it.
Designing for gym owners, distributors and wellness buyers
Buyers walk the India Fitness Expo with equipment, fit-out and stocking decisions, so the stand has to demonstrate and energise, then host the conversation: try-out equipment and a live demo, then a conversation about specification, durability, financing, distribution and service. We design the path from the experience to that conversation, because at an experience-driven show the demonstration earns the meeting and the meeting earns the order or distribution.
We keep the message specific to your segment — strength, cardio, functional, recovery, nutrition, apparel, tech — because a commercial-gym buyer and a boutique-studio owner want different things, and a precise, experienceable offer lands far harder than a general 'fitness solutions' one.
What an India Fitness Expo stand costs
A turnkey SOL stand at the India Fitness Expo runs from ₹1.8 lakh for a focused 9–18 m² Essential presence, from ₹4.5 lakh for a 24–48 m² Regular build with try-out equipment, a demo space and a hosting area, and from ₹12 lakh for a 50–100 m²-plus Premium island, double-deck or workout-zone build. The figure is all-inclusive — design, fabrication, graphics, lighting, delivery within Mumbai, install, dismantle and the venue paperwork — with only the organiser's floor rental outside it.
What moves the number is a full workout or demo zone with floor loading and power, heavy equipment handling, an energetic AV-led build, or a double-deck lounge. What you do not pay extra for is flooring, material handling and electrical fit-out — and because this is our home venue, you also save the freight an out-of-Mumbai builder would add.
Stand sizes and layouts
Stands run from compact 9–18 m² spaces for nutrition, apparel and accessory brands to 100 m²-plus islands and double-deckers for major equipment houses with full workout zones. The layout leads with try-out equipment and a demo space where the crowd sees it, plans safe floor loading and circulation, and keeps a hosting area for the conversation. Corner and island positions help an energetic build be seen on a busy floor.
Whatever the size, we make the stand energetic, on-brand and well lit, because on a fitness floor the energy and experience of the stand are read directly as the appeal of the brand and equipment.
Getting into the BEC: build-up timing
The BEC runs a tight build-up and dock schedule, and services book up early. We confirm your build slot, order power and any AV or demo load through the venue contractor before the deadline, plan floor loading for heavy equipment and the workout zone, and — because we're local — schedule a short, reliable delivery so the stand and its equipment land set and ready for the first buyer.
Being Mumbai-based, we can set heavy equipment and a demo zone safely during build-up in a way an out-of-town builder can't.
Reusing your stand between editions
Fitness brands exhibit at the India Fitness Expo and the regional fitness and wellness circuit across the year, so a modular reusable stand with re-deployable demo and equipment fixtures is strong value. We store the core in Mumbai, refresh graphics and display for each edition, and keep your power and handling orders on file — so the next show is a refresh, not a rebuild.
Common mistakes, in order of frequency
- A hands-off stand on a floor where buyers want to try the equipment.
- Under-planning floor loading for heavy gym equipment or a workout zone.
- A flat, low-energy aesthetic on an energetic fitness floor.
- No hosting area for the distribution conversation.
