A Guide to WTM Spotlight India for First-Time Exhibitors
Building at Yashobhoomi, Dwarka: the rules that shape your stand
Yashobhoomi is one of India's newest flagship convention venues — modern, large and closely managed, with high finish expectations and its own access, technical and rigging discipline. Hall configurations and hanging rules are specific to the venue, so we design to the allocated space and its rules rather than a generic assumption; a stand that passes in an older exhibition hall can look under-built here.
A destination pavilion has particular needs: strong overhead identity so it can be found across a large modern hall, evocative materials and lighting, seated meeting pods in volume, and often a hospitality or refreshment point. Power and any rigging are sanctioned through the venue's official contractor against a declared load, ordered early to avoid peak-build surcharges. All materials are FR-treated with certificate and fire NOC filed before move-in, finishing is completed off-site, and two-storey pavilions — common for national tourism boards — need a structural-stability certificate from a licensed engineer.
Delhi logistics run roughly 1,400 km by road from our Mumbai facility, so crating and convoy timing decide your build week. We schedule the freight to land the stand inside its access window, and we build and inspect the pavilion in Mumbai first, because a tourism board representing a country cannot afford a first-time assembly on the show floor.
What a winning travel and destination stand needs
The stands that win at a travel mart evoke a place and host a diary. We design a stand that communicates the destination or brand instantly — material, colour, imagery, light and, where budget allows, a sensory moment — with strong overhead identity so agents can find you, and then we maximise seated meeting capacity, because an agent's day here is a sequence of appointments rather than a browse.
We keep the message specific to what you are selling — leisure destination, MICE capability, hotel product, cruise, travel technology — because a leisure tour operator and a corporate MICE planner buy differently, and an evocative, clearly positioned destination story lands far harder than a general 'visit us' one on a floor full of destinations competing for the same Indian outbound traveller.
Designing for agents, tour operators and MICE planners
Buyers arrive with sales and contracting agendas and a packed appointment diary, so the stand has to attract and then host: an evocative, findable presence, then a series of seated conversations about product, rates, commissions, contracting and MICE capability. We design the path from the destination moment to the meeting, because the stand that runs out of meeting seats mid-morning is losing business for the rest of the show.
We keep the meeting space genuinely workable — enough seats, reasonable acoustics in a large hall, a place to spread a brochure or laptop — because contracting conversations are detailed, and a pavilion that looks beautiful but cannot seat a delegation has solved the wrong problem.
What a WTM Spotlight India stand costs
A turnkey SOL stand runs from ₹1.8 lakh for a focused 9–18 m² Essential presence, from ₹4.5 lakh for a 24–48 m² Regular build with several meeting seats and a destination feature, and from ₹12 lakh for a 50–100 m²-plus Premium destination pavilion or double-deck build. The figure is all-inclusive — design, fabrication, graphics, lighting, road freight to Delhi, install, dismantle and the venue paperwork — with only the organiser's floor rental outside it.
What moves the number is an experiential destination feature, premium finish to Yashobhoomi's standard, overhead identity and rigging, a hospitality point, or a double-deck pavilion. What you do not pay extra for is flooring, material handling and electrical fit-out, which sit inside the turnkey figure.
Stand sizes and layouts
Stands run from compact 9–18 m² spaces for single hotels and DMCs to 100 m²-plus destination pavilions and double-deckers for national and state tourism boards hosting co-exhibitors. The layout leads with an evocative, findable destination face, then dedicates most of the floor to seated meeting pods — the meeting-to-display ratio at a travel mart is higher than at almost any other show we build for. Corner and island positions help a destination be found across a large hall.
Whatever the size, we finish and light the pavilion to a premium standard, because at a destination show the quality of the pavilion is read as the quality of the destination's tourism offer — and at a flagship venue that reading is unforgiving.
Getting into Yashobhoomi: build-up timing
The venue runs a tight, closely managed build-up and rigging schedule, and services and hanging points book up early. We confirm your build slot, order power and rigging through the venue contractor before the deadline, file the structural-stability certificate for any double-deck pavilion, plan the meeting pods and hospitality point, and time the Mumbai-to-Delhi freight so the stand lands inside its access window, built and dressed before the first appointment.
Because the pavilion is pre-built and inspected at our Mumbai workshop, what arrives in Delhi is a known quantity — not a first assembly attempted under a flagship venue's build-up clock.
Reusing your stand between editions
Tourism boards and hotel groups exhibit at WTM Spotlight India, OTM, SATTE and the regional travel circuit across the year, so a modular reusable pavilion with re-deployable meeting pods is strong value. We store the core in Mumbai, refresh graphics, imagery and destination features for each event, and keep your power and rigging orders on file — so the next show is a refresh and a re-freight, not a rebuild.
Common mistakes, in order of frequency
- A beautiful pavilion that cannot seat a delegation for a detailed contracting conversation.
- A generic stand that could be any destination, on a floor full of destinations.
- No overhead identity, so agents can't find the pavilion across a large modern hall.
- Attempting a first-time pavilion assembly on-site under a flagship venue's build-up clock.
