Exhibition Graphic Design and Stand Branding
Large-format graphics designed for the distance they are actually read from — fascia, lightboxes, walls, floor and collateral. Designed, proofed and printed alongside the stand they go on.

Everything is decided by reading distance
A visitor decides whether to cross an aisle from about twenty metres away, in maybe two seconds, while walking. That is the whole design problem. At twenty metres a person reads a logo, one line of text and a colour — nothing else. Every additional message you add to the fascia does not get read alongside the first one; it competes with it and reduces the odds that anything registers at all.
So the hierarchy is fixed before any layout starts. One message at long range on the highest surface. A second tier at five to eight metres, where somebody has slowed but not stopped — what you actually do, in a phrase. Detail only at arm’s length, on the counter, the screen loop and the printed collateral, where a person who has already committed to standing in your stand will read it.
The most common brief we receive reverses this: a fascia carrying a tagline, three product names, a QR code and a website address, all at the same weight. It reads as texture from across the hall. Stripping it to one message is usually the single highest-return change we make to a stand, and it costs nothing.
What exhibition graphics cost
Graphics are included in the all-inclusive stand bands — design, print, proofing and installation are all inside the figure, not added to it. Where we design graphics for a stand somebody else is building, we quote per square metre of printed surface plus artwork time.
Reprints of a single damaged panel are usually the cheapest line item on a show budget, which is the argument for keeping the production files somewhere findable and coming back to us with the panel reference rather than a photograph of the damage.
Exhibition stand builds are priced separately, on our standard spine, and are unaffected by this scope:
Essential
- Design, build and graphics
- Lighting and furniture
- Transport from Mumbai
- Installation and dismantle
Regular
- Bespoke structure and joinery
- Meeting area and storage
- Lighting design
- Full site crew
Premium
- Double-decker or feature build
- AV integration
- Hospitality and meeting rooms
- Dedicated project manager
Stand figures are all-inclusive of design, fabrication, graphics, lighting, furniture, transport, installation and dismantling. They exclude the organiser's floor rental, power connection charges and venue-levied service fees, which the organiser bills to you directly. GST applies at prevailing rates.

Where the artwork comes from
Most brands arrive with an agency and a set of guidelines, and that is the easiest version of this job. We supply die-lines, bleed specifications, substrate notes and the reading-distance constraints; the agency supplies brand-correct artwork; we handle print and installation. Where a brand has no agency, we design from the guidelines directly. We would rather adapt an agency’s artwork to the print and structural realities than start a turf war.
The file problem is almost always the same, and it is worth getting right before the print slot rather than during it.
Production-ready files go back to you at the end. Reusing them at the next show without coming back through us is entirely fine, and preferable to reprinting from a degraded copy.
What we need from you
- Logos
- Vector as AI, EPS or SVG — a JPEG logo gets redrawn rather than printed soft
- Photos
- Original capture resolution, not the compressed copy off the website
- Resolution
- 100–150 dpi at final size — less than most people assume, well beyond a 72 dpi web asset
- Colour
- Pantone references, proofed on the actual substrate before the full run
- Fonts
- Outlined, or supplied with the licence to embed
- Handover
- Production files come back to you at the end of the project
The graphic set for a stand
Designed together, so the fascia and the brochure look like the same company.
Structural graphics
Fascia, header, wall panels and any freestanding tower — printed direct-to-board or on tensioned fabric depending on the surface and how much the panel has to travel.
Backlit lightboxes
Artwork built specifically for transmitted light. A file that looks correct on a monitor usually prints too dark for a lightbox and has to be separately prepared, which is why a lightbox panel is never just the wall artwork scaled.
Floor and threshold
Floor and threshold graphics matter more than exhibitors expect, because a person approaching your stand is often looking down at a crowded aisle rather than up at your fascia.
Screen content and collateral
A silent screen loop that reads without audio, since the hall will drown it — plus brochures, one-pagers, badges and lanyards, designed at the same time as the stand rather than after it.
When artwork actually has to be locked
Roughly ten days before build-up for a full graphic set, and about five for a single replacement panel. Those are not padding. Large-format print runs are scheduled, substrates have to cure or cool before they can be trimmed and rolled, and the finished graphics have to be on the same truck as the structure. Miss the print slot and the panel travels separately at a cost that dwarfs the reprint.
What that means in practice is that a product name change on one lightbox ten days out is usually absorbable, and a brand refresh across a 48 m² stand at the same point is not. Where a launch genuinely is not signable in time, we print the structure with a neutral treatment and produce the launch panel as a separate late element — more expensive, but it keeps the option open rather than forcing a decision before the business has made one.
We also print one spare of every high-risk panel: fascia, primary lightbox, and anything at floor level near a corner. Damage in transit and damage during build-up are both common enough that a spare costs less than the alternative, which is a stand with a scuffed centrepiece for four days.

Exhibition graphics — common questions
What does exhibition graphic design cost?
Graphics are included in the all-inclusive stand bands — Essential 9–18 m² from ₹1.8 lakh, Regular 24–48 m² from ₹4.5 lakh, Premium 50–100 m²+ from ₹12 lakh. Where we design graphics for a stand somebody else is building, we quote per square metre of printed surface plus artwork time. Reprints of a single damaged panel are usually the cheapest line item on a show budget.
What file formats do you need from us?
Vector logos as AI, EPS or SVG, and photography at the original capture resolution rather than whatever came off the website. Large-format printing at 1:1 needs roughly 100–150 dpi at final size, which is far less than people assume and far beyond what a 72 dpi web asset can supply. If all you have is a JPEG of a logo, we will redraw it.
Can you match our brand colours exactly?
To the extent large-format printing allows. We work to Pantone references and pull a printed proof on the actual substrate before the full run, because the same file prints differently on backlit fabric, matte vinyl and direct-to-board. Approving a colour on a monitor and discovering it on the show floor is the failure mode we are trying to avoid.
How late can we change artwork?
Roughly ten days before build-up for a full graphic set, and about five for a single panel. Beyond that the print queue and the transport schedule stop cooperating. A last-minute product name change on one lightbox is usually possible; a full rebrand across a 48 m² stand is not.
Do you design the printed collateral too?
Yes — brochures, one-pagers, roll-ups, badges, lanyards and the presentation loop for the screens. Designing the stand graphics and the collateral together is the only way the two look like the same company, which is the entire point.
What makes exhibition graphics different from any other design work?
Reading distance. A brochure is read at 40 cm and a stand fascia is read at 20 metres, across an aisle, in mixed lighting, past other people. That single constraint decides type size, contrast, message count and where the logo goes — and it is the constraint most agency-supplied artwork ignores.
Will you work with our existing agency?
Regularly. Most brands already have an agency holding the guidelines, and we would rather adapt their artwork to the print and structural realities than start a turf war. We supply the die-lines, bleed specifications and substrate notes; they supply the brand.
Who owns the artwork afterwards?
You do. We hand over the production-ready files at the end of the project. Reusing them at the next show without coming back to us is entirely fine, and we would rather you did that than reprint from a low-resolution copy.
